This notice explains how Terrazzo Flooring UK ("we", "us") uses your information when you contact us, including on WhatsApp, where an automated assistant may reply to you on our behalf.

Who we are

Terrazzo Flooring UK is a trading name of Premfloor Southern Ltd, which is responsible for your information. You can contact us on WhatsApp, or by email at info@terrazzoflooring.co.uk for privacy questions.

What we collect

• Your WhatsApp number and the name on your WhatsApp profile.
• The messages, photos and documents you send us, and our replies.
• Details about your project that you give us, such as location, size, timescale and the type of work.

Why we use it

• To answer your enquiry, prepare quotes, send samples and carry out work you ask us to do.
• To keep a record of your project so we can update you on its progress.

We use your information because you have asked us to help with a project (steps before or under a contract), and for our legitimate interest in running and improving our business. We do not sell your information or use it for unrelated marketing.

Our WhatsApp assistant

Messages to our WhatsApp number may be answered by an automated assistant powered by an AI model provided by Anthropic. It uses your messages to write replies, ask about your project and pass your enquiry to a member of our team. Before your messages reach the AI, we remove phone numbers, email addresses, full postcodes and street addresses. Photos you send may be shown to the AI so it can understand your project. If you ask to speak to a person, a member of our team will get back to you as soon as they can. Reply DELETE to have your conversation and photos deleted. Reply STOP to stop receiving updates from us.

Who we share it with

• Meta (WhatsApp), which carries the messages.
• Anthropic, whose AI model generates the assistant's replies.
• Our web hosting provider, which stores our records in the UK.

Some of these providers may process information outside the UK. Where they do, they use legal safeguards approved under UK data protection law.

How long we keep it

Messages you send to a business on WhatsApp are encrypted on the way, and the business can read them, as with an email or a phone call. We keep your conversation so we can help with your enquiry or project.

If there has been no activity in your conversation for 12 months, or as soon as you reply DELETE, we anonymise it: your name, phone number, email, street address, full postcode, photos and exact dates are removed, and only the anonymised text (for example "a [name] asked about a kitchen floor in October 2026") is kept to help us improve our service. Technical logs are deleted after 90 days. Records the law requires us to keep, such as invoices, are kept for as long as the law says.

The AI provider (Anthropic) deletes the messages it processes for us within 30 days and does not use them to train its models.

Your rights

You can ask us for a copy of your information, ask us to correct or delete it, or object to how we use it. Contact us on WhatsApp or at the email address above. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ico.org.uk).
